MINUTES OF 3rd EXECUTIVE COMMITTEE MEETING OF GCHA AT BOARDROOM, GLENMARIE GOLF & COUNTRY CLUB ON THE 4th JULY 2004 AT 8PM

The following minutes were recorded:

 

1.

AUDITED ACCOUNTS

 

·        Audited Accounts are ready for the year end December 2003 and were submitted by Messrs. Mustapharaj. Mr KE Lim, the former Treasurer, has signed the Accounts.

·        Copy of the Audited Accounts is available for inspection by request.

·        Resolution to the bank for new signatories by the Exco to be finalized urgently.

 

2.

SECURITY & SAFETY

 

·        Expiring of Contract – Capvest gave 1 month notice to GCHA on the 28th June 2004 to terminate security contract with GCHA effective 1st July 2004.

·        Tender of Contract -

        Capvest withdrew their tender on the 15th June 2004.

        Final submissions were received by Gwenkens and Group 4.

        GCHA to deliberate recommendation and acceptance.

·        A Review for security system for Glenmarie Court:-

        Level 1: To use Central Monitoring System with perimeter detectors and vibration sensors.

        Level 2: Patrol by professionally trained guards, guard dogs and dog handlers.

·        Gwenkens was requested to furnish a set of service agreement by the 12th July 2004 to include the following conditions:-

        New set of uniforms for guards

        Patrol vehicle to permanently stationed at GC

        Certification that all the guards in GC have no previous police records.

        Insurance policies

·        GCHA to arrange a visit to Gwenkens’ office.

 

3.

LANDSCAPE & GENERAL MAINTENANCE

 

·        Site inspection was held on the 11th May 2004. The following were carried out:-

        Replanted Pisonia alba in front of all TNB substations

        Replanted Pisonia alba at the Horseshoe area

        Replaced red lilies at the entrance in front of the guardhouse

·        The contractor has shown no intension to repair the broken culvert near Tuan Hj Harun’s house.

·        Site visit was made by Mr Vijai from Rent a pot Landscape Sdn Bhd on the 1st July 2004 to inspect Cabbage Palm Tree and he suggested that:-

        Mixture of systematic insecticide – Rogor & Cypermenthrin

        Termite control – Chloropyrifos

·        GCHA requested AF to provide in writing the result of the test conducted by UPM on the sample sent immediately.

·        AF was requested to arrange with HDB to clear all trunks of dead palms to prevent termite infestation.

·        Re-tender for landscaping : Tender document is ready and was issued out to Exco for review on the 2nd June 2004 and 2 companies were suggested:-

        Signature Garden

        Orange

 

4.

BUILDING & INFRASTRUCTURE

 

·        JKR Petaling has promised to start construction of concrete barrier along Persiaran Kerjaya in June 2004 pending precast materials for central divider to arrive on site.

·        Dialogue with Owners/Contractors was held on the 9th June 2004 (refer to Minutes of Dialogue dated 9th June 2004.)

·        Repairing of kerbs almost completed except at the bungalow areas (see photo).

·        According to MBSA, fogging is done every 3-4 month. Next fogging to be targeted in July 2004.

·        GCHA decided to purchase plastic barriers to be placed near the guardhouse.

·        The recycling centre in Subang Jaya is back in service.

5.

COLLECTION OF MONTHLY MAINTENANCE FEES

·        93% of the maintenance fee for the period of April 03 to March 04 has been collected.

·        79% of the maintenance fee for the period of April 04 to September 04 has been collected.

·        GCHA has sent out reminders to owners who have not paid by registered post.

 

6.

ADMINISTRATION

 

·        Taking over the management of GC - Dialogue was held with HDB on the 26th May 2004.

·        Issuance of land titles – Letter was written to HDB on the 29th June 2004 requesting for the status. There is no reply.

·        A draft Petition was issued to Exco for review.

 

7.

CORPORATE AFFAIRS

 

·        There are about 210 hits to the GCHA website.

·        The website has updated to include the BIG PICTURE.

 

There being no other matters, the meeting ended at 10.00pm with a vote of thank to the President. The date and time of the next meeting to be informed later.
