MINUTES OF DIALOGUE HELD BETWEEN HORSEDALE DEVELOPMENT BERHAD AND GLENMARIE COURT HOMOWNERS’ ASSOCIATION ON THE 11th AUGUST 2004 AT 4.00PM AT HDB’S MEETING ROOM

This is the 3rd dialogue held between Horsedale Development Berhad (“HDB”) and Glenmarie Court Homeonwers’ Association (“GCHA”) for the year 2004 and the following were discussed:-

 

1.                  TRANSFERRING THE MANAGEMENT OF GLENMARIE COURT TO GCHA

 

                                 i.            GCHA informed HDB that GCHA Exco has met on the 11th August 2004 and all present (except one) agreed that the transfer of management for Glenmarie Court should be effective soonest.

 

                               ii.            The effective date of the transfer of management is targeted on the 1st September 2004.

 

                              iii.            There will be a familiarization programme for a period of two (2) weeks for GCHA Treasurer, her assistant and the Property Manager with HDB’s Accountant and Accounting personnel.

 

                             iv.            HDB provided the following during the dialogue:-

 

a)      Balance Sheet for the period ended 31st July 2004;

b)      Income Statement for the period ended 31st July 2004;

c)      Budgeted fund position for the period ended 31st July 2004.

                               v.            HDB will check the maintenance fee for software operation for GCHA. Presently, HDB is paying RM500 per year.

 

                             vi.            HDB agreed to continue assisting and be responsible to collect the unpaid maintenance fees up to the 30th September 2004.

                            vii.            HDB further agreed that they will assist and be responsible to collect the unpaid maintenance fee thereafter until the issuance of land title or before sub-sale of properties. In this respect, HDB agreed to get clearance from GCHA Exco on the unpaid maintenance fees prior to release of the land title or sub-sale of properties. HDB will seek for legal opinion on this matter.

 

                          viii.            HDB will check whether the present dot matrix printer for generating the maintenance fees belongs to GCHA.

 

                             ix.            GCHA highlighted that there are contra accounts between HDB and Glenmarie Court owners for the amount of RM5,000.00. GCHA requested HDB to check and clarify.

 

                               x.            GCHA enquired whether the deposit of RM10,000.00 from Owners to HDB can be transferred to GCHA. HDB iterated that the deposit cannot be transferred.

 

                             xi.            Lengthy deliberation was held in regard to enforcing the House Rules on contractors to keep Glenmarie Court neat and tidy at the common areas. In conclusion, GCHA Property Manager will take photographs of untidy common areas and issue letters to Owners giving them three (3) days notice to clear the common areas. Failure to comply would mean that GCHA after informing HDB can employ other workers to clear the common areas and charge Owners appropriately.

 

 

2.                  LAND TITLES

 

HDB informed the pre-comp plan has submitted to Majlis Bandaraya Shah Alam (“MBSA”) for approval. The appointed Land Surveyor by HDB will submit the sub-division plan to the Land Office. Expected approval of the sub-division plan will be mid 2005.

 

3.                  OTHER MATTERS

 

HDB agreed to give GCHA a plot of land located at Jalan U1/6B for the construction of GCHA Management Office. The area of land is 603m² and is located at Lot 21. GCHA Exco thanked HDB for the kind gesture.

 

There being no other matter, the meeting adjourned with a vote of thanks to HDB.
