MINUTES OF DIALOGUE HELD BETWEEN HORSEDALE DEVELOPMENT BERHAD AND GLENMARIE COURT HOMOWNERS’ ASSOCIATION ON THE 26TH MAY 2004 AT 2.30PM

This is the 2nd dialogue held between Horsedale Development Berhad (“HDB”) and Glenmarie Court Homeonwers’ Association (“GCHA”) for the year 2004 and the following were discussed:-

 

1.0                          TAKING OVER THE ADMINISTRATION OF MONTHLY MAINTENANCE FEES

 

1.1                            GCHA suggested taking over the responsibility of billing monthly maintenance fees and the accounts thereof from the 30th June 2004, subject to approval from the EGM targeted to be held in either June 2004 or early July 2004.

 

1.2                            HDB elaborated that based on their latest account issued during the meeting, there is a net surplus of RM25,990.31 for GCHA. Statement of Account is attached herewith.

 

1.3                            HDB confirmed that there is no waiver of 10% p.a interest charge for late payments.

 

1.4                            HDB further enquired whether all house owners are members of GCHA and advised that it is best to ensure all of them are members before taking over.

 

GCHA will distribute flyers and application forms to all house owners encouraging them to be members of GCHA.

 

GCHA will check whether it is compulsory for all house owners to be members of GCHA.

 

1.5                            GCHA enquired if the deposit of RM10,000.00 by owners of bungalows under construction can be transferred to GCHA’s account.

 

 

HDB mentioned that the deposits are for making good damages, defects and cleanliness of the common areas, legally these deposits cannot be transferred to GCHA. However, HDB requested En Azlan to liaise closely with En Roslan for the cleanliness of the common areas. GCHA will effectively complain to contractors directly and copy these complaints to HDB. HDB will ensure that all damages to common areas and infrastructures are repaired and installed to the original state of condition by contractors prior to release of the RM10,000.00 deposits.

 

2.0                          LAND TITLES

 

HDB informed that the Master Layout Plan is approved by MBSA and will be endorsed by June 2004. Thereafter, HDB will submit sub-division plans to the Pejabat Tanah dan Galian (the Land Office) in Shah Alam for approval. The process of the approval, according to HDB, is not within their control, but targeted approval is within 1 year. Further HDB mentioned that the approval of the sub-division plans is holding up their next property launch and it is to their interest to get the approval for sub-division plans soonest.

 

3.0                          OTHER MATTERS

 

GCHA, through the President, requested if Glenmarie Court residents can make use of the vacant land, next to the tennis courts in Glenmarie Golf & Country Club, as a football field as there is no land available in Glenmarie Court and the trend is street football. The response from HDB is not in GCHA’s request.

 

At this juncture, GCHA asked if there is a place for GCHA management office and HDB informed that a piece of land at end of 6B (No 19) is available for GCHA management office. HDB confirmed that GCHA can make use of that land as a management office in future. GCHA thanked HDB for granting the piece of land to GCHA.

 

There being no other matter, the meeting adjourned with a vote of thanks to HDB.
